Food Vendor Information & Registration

 ELIGIBILITY: Exhibitors will be responsible for their own table and chairs. Stephenville Parks and Recreation Department reserve the right to make all space assignments and to allocate it's resources as necessary. We reserve the right to deny/reject booths for questionable or distasteful items. 
 
FEES:    $175.00 each - Food with 110 volts/20amps of Electricity - (14 Available)  $125.00 each - Food without Electricity - (6 Available) 
 
SPACE: Spaces will be assigned. Vendor space is limited to a single 15’x15’ area (including all trailers, wires, stakes, poles, etc.) with a roof that can withstand wind, rain and other inclement weather. Come prepared for all types of weather. You must secure your booth in case of windy conditions. All items being sold or displayed must be contained in booth space. Spaces are assigned on a first come, first serve basis. (No Exceptions). SPARD is not responsible for any missing or broken vendor items or equipment. 
 
ELECTRICITY: You will be provided one outlet 110 volt up to 20amps. If your electricity requirements are over 110 volt and/or 20amps then you will need to have self-contained generated power. You will need to provide you own extension cords from the box to your both.  Extension cords will need to be run behind other vendors. We will provide an estimate of how many feet your space is away from the electrical outlet. 
MENU CHOICES:  Your menu must be provided in order to prevent multiple duplicates. Please fill out a description of your menu items. We will do our best to give selected vendors their choices, but we cannot guarantee they will receive it. We do not want to have numerous vendors selling the same thing. We will tell you what items have been approved in your vendor application.  
 
MERCHANDISE: We understand that some merchandise may be sold at the food stations.  All items sold must be approved.  We will do our best to give selected vendors their first choices but will not guarantee they will receive it.  We do not want to have numerous vendors selling the same items.  We will tell you what items have been approved in your vendor applications. .  A separate application is required for those booths.    
 
BEVERAGE POLICY: Food vendors may sell non-alcoholic beverages from their booth. If we have a beverage sponsor at any given event, for example, Ozarka Water or Coca Cola, you will be required to sell that brand of product & not sell a competing brand. All beverages need to be sold out of their original can, original plastic bottle or a compostable plastic cup. No alcoholic beverages can be sold out of your booth at anytime. 
 
GREASE: Food vendors need to provide ground cover inside their booth and cooking area for the absorption of grease. No food vendor will be allowed to open for business if the ground cover is not in place. No grease or gray water is to be poured onto the ground or down any drains. Anyone found doing this will be asked to leave the event and your fee will be forfeited. You will be responsible for any and all environmental cleanup costs and subject to prosecution by city or state officials.  
 
REQUIREMENTS: Vendors will be responsible to be open during the entire event. You cannot vacate early. Your booth must be neat, attractive and wellmaintained. Signage with visible and clear pricing is required. You are responsible for setting up, maintaining, removing your own booth, and all trash. 
 
You are required to have temporary food-handlers permit from the Texas Department of Health and must get an inspection through the City of Stephenville Health and Safety Dept.   
 
ABSOLUTELY NO REFUNDS WILL BE MADE DUE TO EXHIBITOR CANCELLATION OR NO SHOW. 
 
Deadline: June 14, 2021 Registration forms are accepted and spaces are assigned on a first come, first serve basis; you will receive your assigned location and instructions to set up times upon acceptance of your registration and payment.
